Table 4: Explanations for function buttons: Items Explanation Search Click Search after inputting the conditions, and the requested rooms can be displayed. Blocking Click this button after highlighting rooms and blocking can be done. Notes: the highlighted rooms must be ≤ reserved rooms, or an alert will appear The rooms chosen are beyond necessary ones. Cancel blocking Click this button if blocking needs canceling. Automatic Click this button and the rooms can be blocked automatically. This function is usually applied when doing blocking for groups. Steps: 1. Locate in Room Blocking screen, then highlight the target record (if the first record happens to be the one, you can operate step 2 directly). 2. Highlight the requested rooms (tick the before rooms), then click Pick Room so the room is blocked and the reservation record won’t appear in the left column. 3. If you want to make query about the blocked reservation record, just tick the before Include Picked. Notes: 1. In the right column of Room Blocking screen, the red color of room number indicates these rooms are occupied during the period of arrival and departure days. 2. The key difference is that in Room Blocking screen, the default guests are today arrival ones. Operators can filter the list by inputting conditions such as VIP, arrival day, name, etc. Occupation Marks: ―― [ ] stands for time period, ─ stands for arrival or departure day, the distance between ─ and [ ] stands for the interval of time. Table 5: Explanations for the marks Marks Explanation The room has no guest currently but reservation after the expiration date. The room has no guest currently but reservation on the expiration date. The room has no guest currently but reservation before beginning date. The room has no guest currently but reservation on the beginning date. The room has no guest currently but reservation during the specified period. Out of Service―― it means the room is under maintenance. Blocking a room Locate in reservation master, click Room Selection in Room menu to open the screen. Highlight the room, click OK and save it after exiting the screen. FIT Checking in Checking in a guest with a reservation Checking in a guest with a reservation is the most mon operation to receptionists. Steps: Locate in guest reservation master, from Status menu, click Checking in and the status changes from R to I. Notes: After checking in from reservation status, the arrival day will be recorded automatically. Walking in In X5 system, the operation of walkingin guests are mainly done through the function of Walkin Steps: 1. Locate in reservation master screen, from Front Desk menu, click Walkin to open the reservation form. Notes: The difference between Walkin reservation form and ordinary one is that the item in the bottom right is automatically ticked. The hotel does Walkin statistics by this item. 2. Put in guest name and click Enter, then the system will match it with profiles automatically. If the guest has history, the basic information will be taken from the matched profile. If no, guest’s surname, name, name 2 will be generated automatically. 3. Check nationality and language. 4. Put in arrival and departure day. 5.
