Purpose To establish the criteria in which employees may utilise this important benefit under a discounted or plimentary basis. Procedures: Complimentary Acmodation Description of Benefit 1. Each employee may use a maximum of 12 plimentary room nights per anniversary year on a space available basis at any Hyatt International Corporation (HIC) or Hyatt Hotels Corporation (HHC) hotel. 2. Each employee may stay up to three plimentary nights per stay. Additional nights may be booked at the Employee Discount Rate or any other available and appropriate room rate. 3. Each employee may stay a maximum of two times at each HIC hotel per anniversary year. 4. Each employee may stay a maximum of one time a year at each HHC hotels Corporation per anniversary year. 5. A minimum of one week is required between two plimentary stays at one hotel. 6. The hotel in which the plimentary rooms are requested must be 50 or more miles from the hotel in which the employee works. 7. Employee Discounts are not available for other services such as food and beverage.Human Resources Policy Manual Page 5 October 1999 Eligibility 1. The employee must be employed full time by Hyatt at the time of the stay to be eligible for the plimentary room benefit. 2. The employee must have pleted one consecutive year of service with Hyatt International Corporation or Hyatt Hotels Corporation. 3. The employee must stay at the hotel to use the plimentary room benefit. Complimentary rooms may not be booked for family members, friends or other nonHyatt personnel. Employees may not reserve plimentary rooms under the employee’s name with the intention to let family members, friends or other nonHyatt personnel stay in the room. Booking Procedure 1. Employees who wish to book a plimentary room at a Hyatt hotel should obtain approval from their Head of Department and/or Human Resources Department. 2. The Human Resources Department will verify that the employee is eligible for Employee Complimentary Rooms and instruct the hotel’s Reservations Manager to reserve the rooms through Spirit. 3. The Reservations Manager will use Spirit to reserve Employee Complimentary Rooms. A copy of the Spirit Reservation and the confirmation number should be given to the employee. 4. If Employee Complimentary Rooms are not available, an Employee Discount Rate should be offered instead. 5. All changes or cancellations should be made by the hotel’s Reservations Manager through Spirit, except if the employee has already left on vacation and is unable to contact the Reservations Manager. In this case, the employee should municate directly with the receiving hotel. 6. All employee “noshows” should be reported to the respective employee’s Human Resources Department for the appropriate followup. Noshows hurt the Programme and forfeiture of the benefit should apply for abuse. 7. A record of each Employee Complimentary Reservation should also be retained in the Human Resources Department. 8. If the hotel or office does not have access to a Spirit Terminal, the Human Resources Department may contact the Manager of the nearest WWRO, or the Corporate Reservations Department in Chicago to reserve rooms.Human Resources Policy Manual Page 6 October 1999 Booking Allotment 1. Like other Spirit reservations, once a reservation is confirmed as an Employee Complimentary Room Reservation, the rate cannot be changed, even if the hotel sells out at a later stage. 2. 1% of each participating hotel’s room inventory should be reserved for Employee Complimentary Rooms at least 10 days prior to the arrival date. The remaining inventory of rooms will automatically be released back to the hotel. 3. If a hotel accepts or encourages direct bookings (not through Spirit), these will be added to the Employee Complimentary Rooms allotment. This means that the actual number of rooms occupied by the employees might be above the 1% allotment. 4. There is no reservation fee for Employee Complimentary or Employee Discounted reservations. 5. The 1% inventory can only be closed out during special events, fairs or other occasions with advance approval from the Corporate Rooms Department in Chicago. Hotels not offering this Benefit The following hotels are not able to offer plimentary rooms, bur can extend an Employee Discount Rate: Hyatt Carlton Tower Grand Hyatt Hong Kong The Lowndes, a Hyatt Hotel Hyatt Regency ParisMadeleine Park Hyatt Sydney Park Hyatt Tokyo Procedures:
